Platform Manager / IT & Data Coordinator
(Internal Platform Ownership – MSP-Aligned Role)
Position Purpose
The Platform Manager / IT & Data Coordinator serves as the firm’s internal platform owner and business-side technology coordinator. This role ensures that business applications, data, workflows, and vendor relationships are properly configured, documented, and supported in coordination with the firm’s outsourced MSP.
This position does not replace the MSP’s managed services, but instead provides internal ownership, prioritization, and translation of business needs so vendors can execute effectively within their contractual responsibilities while maintaining strong compliance and security standards.
Technology Partnership Model with MSP (Managed Services Provider)
The MSP is responsible for infrastructure, device management, cybersecurity tooling, patching, monitoring, backups, network management, and helpdesk support.
The Platform Manager / IT & Data Coordinator is responsible for internal platform ownership, business configuration decisions, data stewardship, internal training, compliance alignment, vendor coordination, and asset tracking. This role ensures accountability, clarity, and effective use of technology without duplicating outsourced services.
Core Responsibilities
- Internal Platform Ownership:
- Own configuration and ongoing management of business applications (CRM, document management, financial planning tools, reporting platforms, Microsoft 365, etc.).
- Maintain workflows, permissions, and data fields aligned to firm processes and compliance/security standards.
- User Access & Lifecycle Coordination:
- Coordinate onboarding and offboarding with our MSP and other vendors.
- Define access levels, track system permissions, and maintain documentation of all user access.
- Data Management & Stewardship:
- Act as firm data steward ensuring accuracy, consistency, and usability across platforms.
- Establish data standards and support reporting needs.
- Vendor Coordination:
- Serve as primary internal liaison to all vendors (including our MSP).
- Submit and track support requests, validate resolutions, review vendor invoices for accuracy, and assist CCO and Director of Operations with vendor due diligence requirements in coordination with leadership and compliance.
- Training & Documentation:
- Train staff on platform usage.
- Develop guides, process documentation, and best practices.
- Technology Planning & AI Initiatives:
- Identify inefficiencies and recommend improvements in partnership with leadership and our MSP.
- Participate in the firm’s AI/Technology Committee supporting evaluation and adoption of emerging technologies including coordination with vendors on initiatives such as agentic AI solutions and data infrastructure (e.g., data lake development).
- Serve as the firm’s internal point of coordination for AI application initiatives—working with third-party vendors, leadership, and the AI/Technology Committee to evaluate, implement, and support AI-powered tools as the firm’s strategy evolves. The scope of this responsibility may expand as the firm’s AI needs become clearer.
- Domain & Systems Oversight: Assist in management of firm domains and DNS settings in coordination with vendors where applicable.
- Asset & Inventory Management: Track all firm technology assets including laptops, phones, monitors, docking stations, and other equipment. Maintain accurate inventory records.
Explicit Exclusions (MSP-Owned Responsibilities)
- Network, firewall, or infrastructure management
- Patching, monitoring, antivirus, encryption, backups, or SIEM operations
- Hardware installation or emergency IT response for computers
- Internal platform manager to be responsible for phones, docking stations, screens, cameras, etc.
*These responsibilities remain with the MSP per the managed services agreement but the platform manager will work with the vendor on these items as needed.
Experience & Skills
- 2–5 years in platform administration, data coordination, operations, or technology-enabled business roles
- Strong familiarity with CRM systems, Microsoft 365, and workflow tools
- Familiarity with AI tools and applications; ability to support evaluation, adoption, and practical use of AI-powered solutions in coordination with vendors and firm leadership (level of expertise subject to revision as the firm’s AI strategy matures)
- Ability to translate business needs into clear technical requirements
- Strong organization, communication, and vendor coordination skills
- Education: An undergraduate degree in computer science or related fields preferred, but not required
